QuickBooks Online Setup & Training
A one-time engagement to configure QuickBooks Online for your business and teach you how to use it properly. The file is built correctly from day one and you leave knowing how to work inside it.
The Setup
QuickBooks Online is powerful software, but out of the box it is a blank slate. The default chart of accounts rarely fits a specific business, bank feeds need to be connected and mapped, and opening balances have to be entered accurately before any real work can happen.
This is a one-time engagement. We build the file so it reflects how your business actually operates, then we walk you through it. When we are finished, you own a clean file and you know how to work inside it.
File Configuration
File Configuration
We set up the chart of accounts to match your industry and how you want to see your numbers. We connect bank and credit card feeds, establish opening balances, import your customer and vendor lists, and configure sales tax and products if they apply.
Workflow Design
Workflow Design
We set up the workflows you will actually use. Invoicing templates, expense categorization rules, recurring transactions, and reporting preferences are configured around your specific operation rather than left on default settings.
Why Proper Setup Matters
Most of the cleanup work we see on other engagements traces back to a rushed initial setup. A wrong opening balance, a poorly structured chart of accounts, or unmapped bank rules cause errors that compound quietly for months. By the time someone notices, unwinding it takes more time than building the file correctly would have.
Dennis has spent over fifteen years working across QuickBooks, Yardi, SAP, and Sage Intacct. That experience shapes how we approach every QuickBooks Online file we build. The principles of a clean general ledger are the same regardless of the platform.
Avoid the Cleanup
Avoid the Cleanup
A file built right from day one does not need to be untangled later. You avoid paying a bookkeeper to undo mistakes, and your financial statements are usable the moment you need them for a loan application, a tax return, or an investor question.
Reporting That Fits
Reporting That Fits
A properly structured chart of accounts determines what your Profit and Loss statement can tell you. If revenue and expenses are categorized with intent, you can see margins by product line, job, or location. If they are lumped together, you see very little.
The Training
Setup alone is not enough. If you are the one running the file day to day, you need to know how to use it with confidence. We sit with you and walk through the tasks you will actually perform, using your real data in your real file.
If you decide later that you would rather hand off the day to day bookkeeping, we can move into an ongoing engagement. But the goal of this service is to leave you self sufficient. You should be able to operate the software without needing to call us every week.
Hands-On Sessions
Hands-On Sessions
We work through the tasks that make up your week. Creating an invoice, entering a bill, matching a bank transaction, reconciling an account, and pulling the reports you care about. You practice each step inside your own file so it becomes routine.
Reference Materials
Reference Materials
You leave with notes tailored to your specific workflows. If you forget how to record a deposit or run a particular report, you have written guidance for your file rather than generic help articles that may not match how your system was configured.
